This policy sets out how AI-generated feedback, AI-assisted review notes, and AI-created visual concepts are handled during website design and development projects delivered by Outrank Ltd. The aim is to keep feedback useful, protect project scope, maintain delivery quality, and ensure review comments are assessed against agreed business goals rather than implemented automatically.
This policy applies to all website design, development, staging review, user acceptance, and pre-launch feedback shared by clients, stakeholders, or third parties during an Outrank Ltd project.
AI-generated written feedback on wireframes, mockups, prototypes, staging links, and launched websites.
AI-generated visual concepts, screenshots, page mockups, and redesign examples supplied after a project has started or after a design stage has been approved.
Feedback submitted by email, messaging apps, documents, screenshots, website annotation tools, or project management systems.
Outrank Ltd accepts that clients may use AI tools to help review websites or generate design ideas. AI-generated material is treated as reference input only and not as a mandatory instruction, final authority, or automatic basis for rework.
All feedback, whether written by a person or generated with AI assistance, will be evaluated against the agreed brief, sitemap, user journeys, content plan, brand requirements, accessibility expectations, SEO considerations, technical constraints, approved deliverables, and the current project stage.
Outrank Ltd reserves the right to reject, defer, re-scope, or quote separately for any AI-generated request that conflicts with prior approvals, introduces new scope, weakens usability, reduces accessibility, harms performance, delays the timeline, or falls outside the contracted deliverables.
1. Brief over prompt
The agreed project brief remains the primary source of direction throughout the project. An AI prompt output does not replace the approved strategy, wireframes, design direction, content structure, or signed-off deliverables.
2. Feedback must be actionable
Feedback must identify a specific page, section, component, issue, or outcome. Vague statements such as “make it more modern” or long AI-generated lists without prioritisation may be returned for clarification before work is scheduled.
3. One source of truth
Feedback must be submitted through the review channel nominated by Outrank Ltd for that project, such as a website annotation tool, staging link review platform, or project board. Comments shared across multiple channels may be consolidated, delayed, or excluded until they are resubmitted in the approved format.
4. Consolidated review rounds
A revision round means one consolidated set of feedback for the relevant project stage, followed by one set of updates by Outrank Ltd. Piecemeal comments, conflicting stakeholder notes, or rolling AI-generated suggestions may be treated as additional revision rounds or as a change request.
5. Stage-based approvals
Each project stage has a distinct purpose. Early rounds are for structure and direction, later rounds are for refinement, and final review is for quality assurance and bug reporting rather than full redesign.
6. Change control applies
If AI-generated feedback introduces a new design direction, new features, major layout changes, additional templates, or rework after approval, it will be managed through the change request process with revised fees and timelines where applicable.
Unless a project agreement states otherwise, review windows are time-boxed and linked to the delivery plan. Feedback submitted after the review window may be moved to the next phase, scheduled separately, or treated as a change request if the relevant stage has already been approved.
Clients may share AI-generated mockups, screenshots, or concept images for discussion. These materials are treated as inspiration only and do not create an obligation for Outrank Ltd to replicate the output exactly.
An AI-generated concept may not account for responsive behaviour, accessibility, CMS limitations, browser compatibility, SEO structure, performance, content governance, plugin constraints, legal requirements, or development effort. For that reason, any request to match an AI-generated design will be assessed on feasibility, suitability, and project scope before acceptance.
If an AI-generated concept is supplied after a design stage has been approved, Outrank Ltd may classify the request as a new design direction and process it as a change request.
The following are generally treated as in-scope revision feedback when submitted within the correct review round and within the agreed revision allowance:
Minor layout refinements within an approved design direction.
Additional revision rounds beyond those included in the proposal or contract.
Clients are responsible for:
Ensuring one authorised decision-maker or consolidated stakeholder response is provided where required.
Reviewing the full deliverable rather than sending isolated comments over time.
Distinguishing must-have changes from optional preferences.
Confirming that AI-generated feedback has been checked for relevance and accuracy before submission.
Providing approvals and feedback within agreed timescales.
AI-generated feedback received on a project should be triaged internally into the following categories before action is taken:
Project leads should respond with a prioritised action list rather than mirroring the full AI output back to the client. This keeps delivery focused on outcomes that matter to the project and reduces unnecessary revision cycles.
Where feedback does not comply with this policy, Outrank Ltd may pause implementation until the feedback is clarified, consolidated, or formally approved as a change request. Project timelines may be extended where non-compliant feedback causes delay, rework, or additional project management overhead.
